    1. Agreement Overview

    These Terms and Conditions ("Terms") govern the relationship between Core Registered, hereinafter referred to as "we," "us," or "our," and the Event Organizer ("you" or "your"). Core Registered agrees to provide a comprehensive event registration platform, acting as the Registration Processor, Communication Facilitator, and Data Handler for your event. By using our services, you agree to comply with these Terms in full.

    2. Services Provided

    Core Registered will deliver the following services:

    • Registration Processing: Management and facilitation of participant registration.
    • Communication: Delivery of essential event-related communications to registered participants on your behalf.
    • Data Handling: Secure storage and handling of all registration data solely for event management purposes, including participant information, communication preferences, and payment processing data.

    3. Fees and Payment Terms

    3.1 Service Fees: You agree to pay Core Registered a negotiated fee for services rendered. This fee may be:

    • Paid directly by you to Core Registered, or
    • Passed on to the participant during registration.

    3.2 Refunds to Participants: In cases where refunds are processed, Core Registered will refund participants minus any incurred fees associated with registration processing. See Section 5 below for cancellation-specific refund terms.

    3.3 Payment Timeline: All fees and amounts collected for the event will be transferred to you following the successful completion of the event, minus any refunds & fees deducted.

    4. Event Cancellation Policy

    In the event of an event cancellation, Core Registered will process refunds to participants in accordance with the timeline and fee structure below:

    • Cancellation 30+ Days of Scheduled Start: Participants will be refunded their entry fees minus a 1.5% cancellation fee.
    • Cancellation within 30 Days of Scheduled Start: Participants will be refunded their entry fees minus a 3% cancellation fee.
    • Cancellation within 15 Days of Scheduled Start: Participants will be refunded their entry fees minus a 5% cancellation fee.
    • Cancellation within 10 Days of Scheduled Start: Participants will be refunded their entry fees minus an 8% cancellation fee.

    All refunds will be processed and transferred directly to participants through the original payment method used.

    5. Data Usage and Privacy

    5.1 Event Management Purposes: All participant data collected through Core Registered’s platform is strictly intended for event management purposes, including registration, communication, and event analytics.

    5.2 Data Privacy Compliance: Core Registered adheres to all applicable data protection laws and best practices to secure personal information. Your use of the data should similarly comply with data protection regulations, including any regional laws such as GDPR where applicable.

    5.3 Prohibited Use: Any use of participant data beyond event management purposes—such as unauthorized marketing or data sharing—is strictly prohibited. Core Registered reserves the right to revoke access if data misuse is suspected.

    6. Platform Usage and Restrictions

    6.1 Lawful Usage: Our registration platform must be utilized in a lawful and respectful manner, respecting all applicable laws and regulations.

    6.2 Access Restrictions: Core Registered reserves the right to revoke platform access if we identify any form of misuse, abuse, or unlawful activity associated with your account.

    7. Indemnification and Liability

    7.1 Organizer Indemnity: You agree to indemnify and hold Core Registered, its affiliates, and employees harmless from any claims, damages, or expenses arising from your use of the platform, including legal fees incurred as a result of any violation of these Terms.

    7.2 Limitations of Liability: Core Registered shall not be held liable for any indirect, consequential, or punitive damages arising from the use of our platform. Our total liability, whether in contract, tort, or otherwise, shall be limited to the fees paid to us by the Organizer in connection with the specific event.

    8. Amendments and Updates

    Core Registered reserves the right to amend or update these Terms periodically. Event Organizers will be notified of any significant changes, and continued use of the platform following such changes will constitute acceptance of the amended Terms.

    9. Governing Law

    These Terms and Conditions shall be governed by and construed in accordance with the laws of the Republic of Ireland. Any disputes arising from these Terms will be subject to the exclusive jurisdiction of the courts of Republic of Ireland.

    10. Termination of Agreement

    Core Registered reserves the right to terminate services if an Organizer breaches these Terms. Upon termination, the Organizer will remain liable for any fees incurred up to the date of termination.
